Privacy policy

This policy covers visitors to this website and NanoPorter’s own clients and prospective clients. Conversations with a NanoPorter assistant on a client’s website are covered by a separate privacy notice, shown in the chat window on that site. Conversations with the assistant on THIS website are covered by this policy.

This website

This site sets no tracking cookies and shows you no advertising.

We measure how many people visit and which pages they read, using a privacy-preserving service that sets no cookies and does not build a profile of you or follow you to other websites.

The assistant keeps your current conversation in your browser tab’s own temporary storage, purely so the chat is not lost as you move between pages. That clears itself when you close the tab, and it never leaves your device.

Cloudflare, which hosts the site, processes visitors’ IP addresses in its infrastructure logs in order to serve the site and protect it from abuse. The lawful basis is our legitimate interest in keeping the site available and secure. Those logs are held by Cloudflare for a limited period under its own log retention and are then deleted; we do not use them to identify anyone.

The assistant on this website

You are talking to an automated assistant, not a person. It is called NanoPorter Virtual Assistant, it never claims to be a member of staff, and if you ask whether you are talking to a human it will tell you no.

What it collects: what you type, and any name, email, phone number or enquiry details you choose to give us so we can get back to you.

Why: to answer your questions about NanoPorter and, if you ask us to, to follow up. Our lawful basis is our legitimate interest in responding to enquiries about our business.

Who it reaches: to run the assistant, your message is handled by a small number of service providers acting for us: an AI language provider, which processes it in the United States under standard data-protection safeguards; secure cloud hosting and storage, including encrypted backups; and an email provider that sends the notification to us. Your conversation is not used to train AI models. We hold the signed agreement and the setting evidence, and we will show you both on request. The current list of providers is available on request.

To stop abuse, the service uses a one-way scrambled version of your device’s internet address to limit how fast requests can be made. It is not kept with your conversation and is not used to identify you.

How long: chat transcripts are kept for up to 90 days and then deleted. Encrypted backups are held for up to 30 days. If you give us your details, they and the conversation are kept with our own enquiry records.

Please do not share health, financial-account or other sensitive details in the chat. It is not the place for them, and the assistant cannot give medical, legal or financial advice. You can ask to speak to a person at any point.

What we collect, and why

  • When you use the contact form or email us: your name, contact details and what you tell us. We use these to reply and to follow up. Lawful basis: our legitimate interest in responding to enquiries about our services.
  • When you become a client: business contact details, the agreement, and billing and payment records. We use these to provide and bill the service. Lawful basis: performance of a contract, and legal obligation for accounting records.

Who receives it

The providers that host our systems and email, run the assistant on this site, and process our payments, together with our accountants, each only to the extent needed to do their job. We do not sell personal data and we do not share it for marketing.

Where it is processed

Some of these providers process data outside the UK. Where they do, the transfer is safeguarded by UK adequacy regulations or by the appropriate contractual safeguards (the International Data Transfer Agreement or equivalent clauses).

How long we keep it

Chat transcripts are kept for up to 90 days. Enquiries are kept for up to 24 months from our last contact with you, so we can pick up a conversation where it left off. Client records are kept for the length of the relationship, and accounting records for six years after the financial year they relate to, as tax law requires.

Your rights

Depending on the lawful basis that applies, you have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to data portability. To exercise any of these, email admin@nanoporter.co.uk. If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
